Depending on the specific characteristics of each apartment complex/building, security personnel have different responsibilities.

RESPONSIBILITIES OF BASEMENT VEHICLE CARD SWIPING STAFF:

  • Security personnel must adhere to all protocols and regulations related to security operations.
  • – Be familiar with the contact numbers of the Building Management Board (BMB) and Technical Department for work-related communication.
  • – Always remain at the control position – card swiping station. If leaving the position, notify the supervisor for a replacement.
  • – Strictly prohibit smoking in the basement.
  • – Do not allow flammable or explosive substances into the basement.
  • – Ensure vehicles in the parking area are arranged neatly and within designated boundaries.
  • – Stay vigilant against potential theft or rapid vehicle theft. In case of theft, immediately use the radio to alert security personnel at other checkpoints for support. Maintain control over the basement entrance/exit.
  • – Monitor and prevent actions such as accessory theft, helmet swapping, taking items from vehicle trunks, smoking, or reckless driving causing collisions in the basement.
  • – Resolve issues quickly to avoid congestion. For vehicles with improper entry/exit, direct them aside and ensure proper card swiping before resolving the issue: (Entry requires card swiping, and exit requires card swiping).
  • – Collect fees (as per the pricing set by the BMB) for all transient vehicles (cars, motorbikes) before they leave the basement.
  • – In cases where vehicle operators report lost cards, the security staff at the position must request relevant documents (ID/Vehicle Registration), conduct checks, and create a report (card cancellation) with witnesses before allowing the vehicle to exit. If the required documents are not provided or are invalid, the vehicle will be temporarily held and not allowed to leave.
  • – For lost card cases involving foreigners, if the security staff cannot communicate effectively, they must immediately notify the BMB to assign personnel for translation and explanation to ensure customers/residents understand and follow the proper procedures for handling lost cards.
  • – If residents are taking personal belongings out of the building, security staff must request a "Gate Pass for Items" from the BMB.
  • – Remind all vehicle operators to reduce speed, follow the correct direction, and avoid driving against traffic to prevent congestion or collisions.
  • – Turn on/off the lighting system (if applicable) in the area at the designated times, ensuring sufficient lighting for observation and safe operation for all individuals and vehicles entering or exiting.
  • – Maintain regular communication and information exchange with other positions (via radio) to promptly address arising issues efficiently and safely.
  • – Do not disclose confidential information about clients or customers.
  • – Report promptly to the Target Team Leader or BMB for timely support or directives in handling incidents.
  • – Be knowledgeable about the fire protection equipment system in the basement and know how to use it.
  • – Do not allow vehicle washing in the basement, which may cause wet or dirty conditions.
  • – Maintain cleanliness in the work area.
  • – At the end of the shift, conduct a detailed and accurate handover to the next shift, ensuring all details are recorded in the shift handover log.

Prohibited actions during the shift:

  • Leaving the assigned position without authorization, being negligent, lazy, or sleeping during the shift.
  • Smoking, using drugs, or consuming alcohol.
  • Playing cards, reading newspapers, or engaging in leisure activities.
  • Displaying aggressive behavior or speaking loudly, affecting customers.
  • Entertaining family, relatives, or friends during the shift.
